How to Create an Exceptional In-person Event

Define your objectives Before planning the expo, it is essential to understand why you want to organise the expo. Define your objectives, such as developing student support-seeking behaviours, creating student awareness, networking, or networking.
Choose the right venue Choose a venue that is easily accessible, has ample space, good lighting, and has adequate facilities such as parking, restrooms, and catering.
Develop a theme Develop a theme for the expo that will resonate with your target audience. A well-chosen theme will create a cohesive experience for your attendees and will help you in attracting the right exhibitors and visitors, e.g. what is the value-add to a student? Why should they come to your expo?
Promote the event Develop a marketing plan to promote the expo. Use various marketing channels such as social media (Instagram, Facebook and Tik Tok), email marketing, website, and advertisements to create buzz and generate interest 2 - 4 weeks out. Create catchy CTAs and A/B test your material. 
Plan the layout Plan the layout of the expo to ensure a smooth flow of traffic. Ensure the booths are well organised, have a value-added purpose, and the layout is easy to navigate.
Provide adequate facilities Ensure that you provide adequate facilities such as charging stations, Wi-Fi, seating, and water stations to create a comfortable experience for your attendees.
Create a schedule: Create a schedule of events such as program manager speakers, panel discussions (mentor Q and A), free food offerings, and product walk-throughs. This will help you attract students and provide value to your attendees.
Train your staff Train your staff to handle inquiries and student support. They should be knowledgeable about the set-up and services on display and be able to answer questions.
Mentor involvement Select a minimum of two high-performing mentors to support the interested students. Foster a culture of collaboration and knowledge sharing by creating opportunities for students to work together to share their expertise with one another.
Follow-up  Follow up with your students, mentors and program stalls after the event. This will help you build relationships and gather feedback for future events.
