Using the Vygo Matching Wizard

The Matching Wizard allows programme admins to instantly match students (members) with supporters (mentors) using a data-driven algorithm. It’s designed to save time, improve match quality, and provide flexibility in managing your programme’s connections.

Accessing the Matching Wizard

You can find the Matching Wizard in your programme’s admin tools. From the welcome screen, you’ll see a quick overview of the process:

  1. Select Members – Choose the members you want to match.
  2. Review and Confirm – Check the proposed matches and make adjustments if needed.

Click Start Matching to begin.

Step 1: Selecting Members

On the Select Program Members screen, you can:

    • Select Members – Choose all or specific members to match. You can also search by name or email if needed.
    • Apply Filters – Target members based on specific criteria, such as Not yet connected or responses to join questions (e.g: faculty).
    • Advanced Settings – Control the maximum number of connections each supporter can have.

Once your selection is final, click Continue.

Step 2: Reviewing Matches

After running the algorithm, the wizard displays the most suitable matches for each member based on their responses.

  • Match Score – Shows the quality of each match (higher = better).
  • View Alternatives – Use the dropdown in the supporter column to see other recommended matches with their scores.
  • Connected Label – Indicates that the member and supporter already have an existing connection.

Rejecting / Comparing profiles

You can also:

  • Compare Profiles – Click the three dots next to a match and select Compare Profile.
  • Reject MatchesRemove a proposed match and choose an alternative.

When ready, click Go Live to confirm your selections.

You’ll see a confirmation pop-up summarising the next steps — select Go Live again to finalise your connections.

Step 3: Viewing connections

Once confirmed:

  • All members and supporters are notified of their new connections.
  • A chat is created for each new connection.
  • You’ll see a results summary with counts for successful, existing, and unmatched connections.

Using the Matching Wizard Effectively as a Programme Admin

The Matching Wizard doesn’t just automate connections — it gives admins flexibility and control.

Here are some tips to make the most of it:

Target the Right Cohorts

    • Use Filters (e.g., “Not yet connected” or faculty-based) to focus on members who will benefit most.
    • This helps ensure your strongest supporters are matched with students who need them most urgently.

Balance Workloads

    • The Advanced Settings option allows you to cap the number of connections per supporter.
    • This prevents overloading your most popular mentors while ensuring others are engaged.

Review with Context

    • Don’t just rely on the Match Score — check the Matched On criteria to understand why a pairing works.
    • This makes conversations with stakeholders easier, as you can show the reasoning behind the system’s recommendations.

Make Adjustments Where Needed

    • Use Compare Profiles if you want to check whether another supporter might be a better fit.
    • Reject or swap matches when you know a supporter’s availability or experience is better suited to a different student.

Finalise with Confidence

    • The Wizard always provides Alternative Options, giving you flexibility if a supporter becomes unavailable.
    • By reviewing these before going live, you can prevent last-minute gaps in your programme.

Track Outcomes Over Time

    • After going live, use the Results Summary to see how many connections were successful, existing, failed, or unmatched.
    • Regularly reviewing this data helps you refine your criteria and filters for future rounds of matching.
