What are Recurring Sessions?
Recurring sessions let supporters and admins set up a private (1:1) or group session that repeats on a schedule, so an ongoing weekly or fortnightly session only has to be set up once. Vygo then creates each session in the series automatically and keeps everyone's calendar up to date.
Recurring sessions are available for both private sessions (one supporter and one member) and group sessions (hosted in a private group chat).
Why use recurring sessions?
Ongoing support works best on a steady rhythm. Recurring sessions hold that rhythm for you, so sessions are not skipped because nobody remembered to book them.
- Less admin: set the schedule once instead of re-booking the same session every week
- A visible commitment: members and supporters can see the whole series ahead of time, not just this week
- Consistent support: check-ins keep happening on schedule, even in busy weeks
- Fewer notifications: people get one message for the series, not one for every session
What schedules are available?
When a session is created, the host can choose how often it repeats.
- Daily: with the option to exclude days, such as weekends
- Weekly: on one or more days of the week
- Bi-weekly: every two weeks, on one or more days
- Monthly: on the same date each month (for example, the 7th) or the same day each month (for example, the 3rd Wednesday)
A series can end after a set number of occurrences (up to 365), on a chosen date, or never. Before confirming, the host sees a plain-English summary of the schedule and a preview of the dates.
Custom or hand-picked dates are not supported. For sessions at irregular points in the semester, book each session separately.
How do people respond to a recurring session?
This depends on the type of session.
- Private sessions: the member can accept or decline each session on its own, or answer every session in the series at once with Accept all or Decline all. Declining every session stops the series. When an admin creates the series, every session is accepted from the start and nobody needs to respond.
- Group sessions: each member of the group chat can choose Attend every session or Not attending for the whole series, then change their answer for any single session.
Where do recurring sessions live?
Every session in a series carries a Repeats badge. Selecting it opens the series page, which shows the schedule, the status of the series and each session in date order.
Sessions are created about a month ahead and topped up automatically. Dates further out are listed on the series page under Not yet scheduled.
Admins can see every session across their programs in Admin > Sessions. Use the Private and Group tabs to switch between session types, and the Recurring series view to see each series and its schedule. Sessions that belong to a series carry the same Repeats badge.
Who can create and manage recurring sessions?
- Owners: can create a private series on behalf of a member and supporter, and edit or cancel any private or group series
- Program Admins: can turn recurring sessions off for their program, create a private series on behalf of a member and supporter, create a group series in a private group chat, and edit or cancel any series in their program
- Support Admins: can create a group series in a private group chat, and edit or cancel any group series. What they can do with private series depends on the permissions your organisation has given them
- Supporters: can book a private series with a member, create a group series in a private group chat where they are a chat admin, and edit or cancel their own series
- Members: cannot create a series. They can accept or decline private sessions, cancel a private series, and say whether they are attending a group series
How do I turn recurring sessions on?
Recurring sessions are switched on for your organisation by Vygo. To have them turned on, contact your Vygo Partner Success Manager.
Once they are on, every program allows recurring sessions by default. A Program Admin can turn recurring private sessions or recurring group sessions off for a program:
- Open the program and select the Settings tab
- Select Sessions
- Under Recurring sessions, turn Recurring group sessions or Recurring private sessions off
Turning a setting off only stops new series from being created in that program. Any series already running carries on and can still be edited or cancelled.
