Sending Bulk Messages to Users

Bulk Messaging allows administrators to send personalised messages to multiple users at once within Vygo.

This feature helps institutions streamline communication workflows and reduce the manual effort of messaging users individually.

Bulk Messages are commonly used for:

  • Student outreach
  • At-risk student support
  • Program updates
  • Advisor communications
  • Cohort engagement campaigns
  • Follow-up and retention workflows

Who Can Send Bulk Messages?

Bulk Messaging access depends on user permissions.

The following roles can send Bulk Messages:

  • Owner
  • Support Admin
  • Program Admin

Important Note for Program Admins

Program Admins can only send Bulk Messages to users within their assigned programs.


Accessing Bulk Messaging

To send a Bulk Message:

  1. Navigate to the User Dashboard
  2. Use filters or segments to locate the required users
  3. Select one or more users
  4. Open the Options menu
  5. Select Send Bulk Message

Selecting Users

Users can be selected individually or in bulk.

Administrators may use:

  • Filters
  • Segments
  • Program filters
    • Public Tags
    • Private Tags

to quickly identify the required cohort before sending messages.

Common examples include:

  • At-risk students
  • Students in a mentoring program
  • Pilot groups
  • Students requiring advisor outreach

Writing a Bulk Message

Bulk Messages support personalised messaging using dynamic user information.

For example:

  • First name personalisation

This allows messages to feel more personalised while still being sent in bulk.

Example:

Hi {{First Name}}, welcome to the program.

Before sending, Vygo provides a message preview showing how the message will appear to recipients.


Sending the Message

Once the message is reviewed:

  1. Confirm the recipients
  2. Review the message preview
  3. Select Send

The platform will then distribute the message to all selected users.


Archived Bulk Messages

Bulk Messages can be automatically archived within the sender’s inbox.

This helps:

  • Reduce inbox clutter
  • Keep communication organised
  • Separate large-scale outreach from active conversations

Archived messages can still be accessed later if required and aren't archived for the receiver of the message.


Best Practices for Bulk Messaging

Recommended best practices include:

  • Use segments to organise recurring cohorts
  • Personalise messages where possible
  • Keep communication concise and action-oriented
  • Review recipients carefully before sending
  • Use Private Tags to support targeted outreach workflows
