Platform and Program Invitation Notifications
Overview
Vygo uses both Platform Invitations and Program Invitations to onboard users and provide access to programs. The notifications a user receives depend on whether they already have a Vygo account and whether they already have a pending Platform Invitation.
This article explains how Platform and Program Invitations work, how notification cadences are applied, and how invitation expiry behaves.
Understanding Invitation Logic
| Scenario | Platform Invitation | Program Invitation | Notification Behaviour |
| Existing Vygo User | Not generated | Sent | The user receives the Program Invitation notification via email and, if enabled, mobile push notifications. |
| New user with no existing platform invite | Automatically generated | Sent | The user enters the standard Platform Invitation notification lifecycle. |
| New user with an existing pending platform invite | No new Platform Invitation generated | Sent | The original Platform Invitation continues its existing notification schedule. Additional Program Invitations do not generate additional Platform Invitation reminders. |
Important: A user can receive multiple Program Invitations while they have a pending Platform Invitation. These Program Invitations do not restart or create additional Platform Invitation reminder schedules. The user continues to receive notifications only for their original pending Platform Invitation.
Platform Invitations
A Platform Invitation is used to invite a user to join the Vygo platform.
Initial Invitation
Channel: Email
When a platform invitation is created, the user receives an email inviting them to join Vygo.
Reminder Schedule
If the user does not accept the invitation, the following reminder schedule applies:
|
Timing |
Notification |
| Day 0 | Platform invitation sent |
| Day 7 | Reminder to join the platform |
| Day 21 | "Your Vygo invitation is expiring soon" reminder |
| Day 28 | Invitation expires |
Invitation Expiry
If the user does not accept the invitation within 28 days:
- The invitation is automatically marked as Expired.
- No further invitation notifications are sent.
Manual Cancellation
Program administrators can manually cancel platform invitations before they expire.
Note: Manual cancellation is available when required but is generally not recommended.
Program Invitations
A Program Invitation is used to invite a user to participate in a specific program.
The notification behaviour depends on whether the invited user already exists on Vygo.
Existing Vygo Users
If the invited user already has a Vygo account:
- A Program Invitation is created.
- No Platform Invitation is generated.
- The invitation grants access only to the specific program.
- Standard program invitation notifications are sent via:
- Mobile app notification (If the user has opted in to push notifications)
Program administrators can resend a program invitation after a 14-day cooldown period if required.
New Users
If the invited user does not yet have a Vygo account:
- A Program Invitation is created.
- A Platform Invitation is automatically generated in the background.
- The user must first join the Vygo platform before accessing the program.
In this scenario, the user receives notifications associated with the Platform Invitation lifecycle.
Notification Flow for New Users
|
Timing |
Notification |
| Day 0 | Program specific invitation email |
| Day 7 | Reminder to join the platform |
| Day 21 | "Your Vygo invitation is expiring soon" reminder |
| Day 28 | Platform Invitation expires |
Because the Platform Invitation manages onboarding for new users, no additional reminder cadence is sent for the Program Invitation itself.
Program Invitation Cooldown
After a Program Invitation has been sent, administrators must wait 14 days before they can resend the invitation.
This cooldown applies regardless of whether the invited user is new to Vygo or an existing user.
Invitation Expiry Behaviour
Only Platform Invitations expire.
When a Platform Invitation reaches 28 days without being accepted:
- The invitation status changes to Expired.
- No further Platform Invitation notifications are sent.
Program Invitations do not expire. Once a user has access to the platform, any outstanding Program Invitations remain available for the user to accept. Administrators may resend a Program Invitation after the 14-day resend cooldown if required.
