How to use program invites?
What are Program Invites?
Program Invites allow administrators to invite users directly into specific programs within Vygo.
Unlike platform-wide invitations, Program Invites are designed to streamline access to individual programs by sending users directly to the relevant program experience.
This feature is valuable for all program types and supports:
- Internal users
- External users (where enabled)
- Public programs
- Private programs
Program Invites help administrators efficiently onboard participants into the right program experience without requiring users to manually search for programs themselves.
Where to Find Program Invites
Within a Program
To access Program Invites:
- Open the relevant Program
- Navigate to Settings
- Select Invites
From here, administrators can:
- Create invites
- Send invites
- Manage invited users
- Resend invites after 14 days
Viewing Program Invites at an Organisation Level
Organisation administrators can also manage and monitor invites centrally.
To view all Program Invites:
- Navigate to the organisation-level Invites area
- Review invitation activity across all programs
This allows administrators to:
- Track invite activity
- Monitor invited users
- View which programs users have been invited into
Although a platform invite record is created, the actual invitation sent to the user is the Program Invite itself.
External User Invitations
All programs can send invitations to internal users.
However, invitations for external users must first be enabled by an Organisation Administrator.
External users include:
- Alumni
- Industry mentors
- Pre-arrival
These user roles can only be sent invitations via a program invitation as they have a limited view of the programs on the platform.
How to Enable External User Invitations
Organisation Administrators can configure which programs are allowed to invite external users.
To enable this:
- Navigate to Program Management
- Select Configure External Invite Permissions
- Choose the programs permitted to invite external users
- Save your changes
Once enabled, those programs can begin inviting external participants.
Program Invites and Invite-only Programs
Program Invites are also used as part of the Invite-only Programs experience.
For private programs:
- Users must be invited before they can access the program
- The program will only become visible once an invitation has been received
This allows organisations to manage controlled-access communities and specialised cohorts securely.
Program Invites and External User Access
Program Invites also support organisations using Limited Program Access for External Users.
When this feature is enabled:
- External users only see programs they have joined or been invited to
- Program Invites become the mechanism used to grant access to additional programs
This helps maintain a simplified and secure experience for external participants.
