How to Create External Events
External Events allow programs to promote events in Vygo while directing users to register through an external platform or system.
This is useful for events that are managed outside of Vygo, such as university orientation sessions, webinars, or events hosted through third-party platforms.
Who can create External Events?
External Events can only be created by admins.
Supporters cannot create External Events, even if they have permission to create standard events.
When should External Events be used?
External Events are best used when:
- Registration is managed outside of Vygo
- The event requires an external ticketing or registration process
- The event is hosted on another platform (e.g. Zoom or university event systems)
- You still want the event to be visible to users within Vygo
How to create an External Event
- Navigate to your program
- Go to the Events tab
- Click Create Event
- Complete the event details, including:
- Title
- Description
- Cover image (optional)
- Date and time
- Under Location Type, select External
- Enter the external event or registration link
- Configure the event audience settings
- Click Publish
How External Events appear to users
External Events appear in the Events page alongside other events.
Instead of a standard registration button, users will see a Visit Event button.
Selecting this button redirects users to the external registration or event page.
Audience settings
External Events can use the same audience settings as other event types:
- Public
- Program-only
- Private
This allows admins to control who can discover the event within Vygo.
Important considerations
- Registration and attendance are managed outside of Vygo
- External registration data will not automatically sync back into Vygo
- External Events should be used selectively to avoid overwhelming users with too many off-platform experiences
Tips
- Use clear event descriptions so users understand they are leaving Vygo to register
- Add a cover image to improve visibility and engagement
- Use External Events for high-value activities that still benefit from being promoted within the platform
